How we handle information shared with HIPINS.

1. Information you provide

When you contact HIPINS, request a quotation, or place an order, you may provide your name, business name, email address, telephone number, delivery address, and order requirements. Artwork, logos, reference images, and messages you send may also contain personal information. Please share only the information needed for your enquiry or order and ensure that you have permission to share information relating to another person.

2. How information is used

We use enquiry and order information to prepare quotations, develop artwork proofs, record approvals, fulfil orders, arrange delivery, and respond to support requests. Relevant records are also used for accounting, security, fraud prevention, and resolving disputes. Where applicable, these activities are based on taking steps toward or performing a contract, meeting legal obligations, or legitimate interests in operating and protecting the business. Activities that require consent, including certain marketing or tracking, must use the applicable consent mechanism.

3. Artwork and order files

Design files can contain names, photographs, contact details, or other information intended to appear on a customised product. Consider removing information that is not required for production before uploading a file. Permission to use artwork to fulfil an order does not, by itself, grant permission to publish personal information or use that artwork in public marketing.

4. Service providers

This storefront uses Shopify for ecommerce hosting. The artwork upload function uses Cloudinary to receive and store uploaded files. Providers involved in communications, payments, and delivery may receive information needed for those services, such as an email address or the recipient’s delivery details. Shopify may also process information under its own privacy policy, depending on the services you use. We may disclose relevant information where required by law or to address fraud or protect legal rights. We do not treat permission to manufacture an order as permission to use personal information for unrelated public promotion.

5. Cookies and website activity

Cookies and similar technologies can support functions such as remembering a shopping session, maintaining security, and understanding website activity. The technologies used depend on the store’s active settings and integrations. Where a cookie preference control is available, you can use it to review your choices. Browser settings also allow you to restrict or delete cookies, although doing so may affect some website functions.

6. Storage and international processing

The time for which information needs to be retained depends on the purpose of the record, the status of an order or enquiry, and applicable accounting or legal obligations. Service providers and delivery partners may operate in countries other than your own. Applicable requirements for cross-border processing and safeguards depend on the information and locations involved. No website or electronic transmission can be guaranteed completely secure.

7. Your requests and choices

Depending on your location, you may request access, correction, deletion, a copy of your information, or restriction of or objection to certain processing. Where processing relies on consent, you may withdraw it. Contact HIPINS using the contact page and identify the request and relevant enquiry or order. We will seek only the information reasonably needed to verify the request and will respond within the applicable legal period. We will explain any lawful reason that prevents deletion of particular records. You may also have the right to complain to your local data protection authority. Using a privacy right will not, by itself, result in discriminatory treatment.

8. Questions about privacy

Include the email address associated with your enquiry or order; do not send passwords, full payment-card details, or identification documents in an initial message. Our custom-product services are intended for adults purchasing for themselves or an organisation. If you believe a child has provided personal information without appropriate authorisation, contact us so we can investigate and take appropriate action. Changes to this policy will be posted here, with additional notice where required.
