Terms of Service

Using the HIPINS website and placing a custom order.

1. About these terms

These terms describe the use of the HIPINS website and the ordering of custom pins, medals, and related products. Read them together with the quotation, artwork approval, and order confirmation relevant to your purchase. An enquiry or request for a quotation is not, on its own, a confirmed production order. These terms do not exclude any rights that cannot lawfully be waived.

2. Quotations and order details

A quotation is valid for 30 calendar days unless it states another expiry date. It is based on the design, size, materials, finishes, quantity, packaging, and delivery destination supplied. An enquiry or payment alone does not authorise custom production: we confirm acceptance of the order in writing and obtain the required artwork approval. A change to specifications may require a revised quotation. Specific terms agreed in writing for your order take precedence over general website wording to the extent permitted by law.

3. Prices and payment

The quotation or checkout identifies the currency, product price, shipping charges, and the treatment of taxes. Payment is due before custom production begins unless we have agreed a deposit and balance schedule in writing. Available payment methods are those offered at checkout or stated on the invoice. We do not impose an unstated late fee or payment surcharge. If a price or payment discrepancy is identified, we will clarify it and obtain your agreement before processing the affected order.

4. Artwork proofs and approval

We require written approval of the final artwork, and of a sample where one is part of the order, before production. Check spelling, dates, orientation, size, colours, and attachments carefully. We will disclose any charge for additional design work before carrying it out; changes are not billed retrospectively without approval. If an exact colour or finish is essential, agree the reference or sample before production. Manufacturing tolerances must be agreed in advance and do not excuse a material difference from the specification.

5. Artwork rights

You retain ownership of artwork you supply and grant HIPINS permission to use it only as needed to quote, develop proofs, manufacture, and fulfil your order. You must have the rights or permission needed for that use. We will request separate permission before using identifiable customer artwork or products in public marketing. Ownership and retention of separately commissioned designs, source files, or tooling must be agreed in writing before a related charge is accepted; a tooling charge does not by itself transfer intellectual property rights.

6. Order changes delivery and product concerns

Request changes or cancellations promptly and obtain confirmation before assuming the order has been altered. The options available depend on the stage of the order and the applicable agreement. Consult the Shipping Policy for delivery matters and the Refund Policy for product concerns and refunds. If information in your order documents appears inconsistent, ask for clarification before approving production.

7. Using this website

Do not use the website to submit unlawful material, infringe another person’s rights, introduce malicious code, interfere with the service, or attempt unauthorised access. Keep any account credentials confidential and notify HIPINS if you believe your account has been misused. Product photographs, examples, and general guidance should be read with the specifications of the particular order you are placing.

8. Third party services

The website may link to services provided by other organisations, such as payment or delivery providers. Their services may be governed by their own terms and privacy information. Review those terms where relevant. The existence of a third-party service does not, by itself, remove responsibilities that HIPINS has under the purchase agreement or applicable law.

9. Questions disputes and updates

Contact HIPINS with your order reference and supporting details so we can investigate and work toward a resolution. These terms do not impose mandatory arbitration or require a consumer to give up access to a court or complaint route available under applicable law. Where no governing-law provision has been agreed, the applicable law is determined under the relevant legal rules. Updated website terms apply prospectively and do not retrospectively change an accepted order without agreement or a legal requirement.
